Our IT department is expanding and seeking a committed and driven Software Asset Management & Licensing Specialist to join our team.
Key responsibilities
- Administer software licenses and subscriptions across the organisation
- Maintain an accurate inventory of software assets, users, and licence allocations
- Monitor software utilisation and identify opportunities for license optimisation and cost reduction
- Coordinate license renewals and ensure uninterrupted availability of business-critical software
- Coordinate the procurement process for software licenses, subscriptions, cloud services, and other IT-related services by preparing Purchase Requisitions (PRs), tracking approvals, and following requests through to completion
- Collaborate with IT managers, Procurement, and Finance to ensure timely acquisition, renewal, and payment of software, cloud subscriptions, maintenance agreements, and other IT services
- Maintain records of software contracts, subscriptions, purchase orders, renewals, and associated documentation
- Work closely with Procurement, Finance, and IT teams on software purchasing and contract management
- Support software audits and ensure compliance with vendor licensing requirements
- Track maintenance and subscription agreements and monitor renewal dates
- Monitor software vendors' licensing models, product lifestyle, roadmap, and licensing policy changes, proactively assessing their potential impact on the organisation
- Stay informed about licensing, subscription, support model, and lifecycle changes for the company's key enterprise platforms (e.g., Microsoft Dynamics 365, Azure, Adobe, VMware, etc.) and provide recommendations to optimise compliance, costs, and future planning
- Prepare regular reports on software usage, license compliance, and optimisation opportunities
- Maintain software asset documentation and internal procedures
- Assist in the introduction and administration of Software Asset Management (SAM) processes and tools
- Support onboarding and offboarding activities by assigning and reclaiming software licenses
- Participate in IT governance initiatives related to software lifecycle management
Qualifications
- Experience in IT administration, Software Asset Management, IT operations, or a similar role
- Good understanding of software licensing models (user, device, concurrent, subscription, SaaS)
- Experience administering Microsoft 365 licenses is considered a strong advantage
- Experience with enterprise software such as Microsoft Dynamics 365, Azure, Adobe, VMware, or similar platforms is an advantage
- Good understanding of software contracts, renewals, vendor management, and procurement processes
- Strong analytical skills and attention to detail
- Good knowledge of Microsoft Excel and reporting
- Experience working with IT Service Management systems is considered an advantage
- Excellent written and spoken English
